In 2024, Aalborg University (AAU) will embark on a number of new, major projects as part of the digitalization of administration. In the spring, several of the initiatives were described in AAU's master plan for the digitalization of AAU's administration, but it has been necessary to re-prioritize the initiatives. In part because the consensus is that creating a more digital HR at AAU is urgent.
Prioritizing digitalization measures is an ongoing task in the Administrative Leadership Forum (ALF) consisting of the administrative management group and the heads of secretariats at faculties and departments, as many of the initiatives relate to cross-cutting processes and systems. At the last meeting in December, there was agreement on the prioritization.
- It is necessary for us to be able to adjust the plans continuously so that we are addressing what is most important. In 2024, it’s HR, but we also need to keep up with developments and consider AI in the digital solutions in the administration. Fortunately, there is support for this in ALF, says University Director Søren Lind Christiansen who is responsible for AAU's administrative digitalization effort.

New digital HR
The HR systems are outdated and communicate poorly. AAU needs a new recruitment system as well as a personnel and absence system. In addition, the number of HR systems, Excel sheets and faulty HR reports must be cleaned up.

AI in the administration
With a number of pilot projects, IT Services (ITS) is investigating the possibilities for how AAU's administrative staff can make use of AI – artificial intelligence – in their work. In addition, AAU must have a code of conduct for the good use of AI in administration. What do we use AI for? And what don’t we use it for at AAU?
New system for Campus Service
Buildings are expensive to keep running. Campus Service is constantly working to ensure that the university uses its square meters as optimally as possible. Today, maintaining the many inventories of premises and buildings is a time-consuming task, but a new, web-based facility management system will give Campus Service a better overview of AAU's premises.
New study administration system
AAU and six other Danish universities have joined forces to develop a new study administration system that will replace the more than 30-year-old Student Self-service System (STADS). The supplier Fluido will develop the system, but AAU is responsible for local management and implementation. The system is expected to be fully implemented in 2028.

New travel reimbursement system
‘Expense’ is the name of AAU's new travel reimbursement system that is expected to go live around the summer holidays. The old system is outdated, and the new system communicates better with AAU's other financial systems. More information will follow on AAU Update.
Updating of AAU Maps
The app that guides you around AAU's campuses will be updated – among other things, it will have a completely new user interface, and it will be possible to see whether seminar rooms are occupied via the app.
Robot for settling small invoices
With a new accounting robot, AAU's finance officers get a helping hand in settling invoices. Using machine learning, the robot can automatically read, record and approve invoices with amounts of up to DKK 5,000.
New intranet for AAU
With an update of AAU's CMS system, Umbraco, it will be possible to create protected pages on aau.dk that can only be accessed with AAU login
A more user-friendly guide to WorkZone
A new website, user involvement, new teaching initiatives and guides will make the use of AAU's records system easier and more straightforward for the individual staff member.
Moodle and Outlook to talk to each other
The goal is to integrate Moodle and Outlook so that teaching staff can see their courses from Moodle in their Outlook calendar. This enables all scheduling to be in one place.
The last Microsoft products move to the cloud
Microsoft's email and calendar are the last Microsoft products to move to the cloud. This means improved connections between the different Microsoft products, and increased overall IT security.
Enterprise Performance Management – ORACLE EPM.
The Finance and Accounts Department and IT Services are leading the expansion of the university's financial system with a new module for budgeting. The module is expected to replace the RES and Prophix systems. One of the essential goals is that data is only entered once and then loaded into relevant systems to ensure high data quality and better work procedures.
